Oak Ridge PTO Vice President

The vice president's role is to serve the PTO, school and students of Oak Ridge.  Be familiar with the mission and By-Law's of the PTO.  The vice president will serve as temporary president and run meetings if the acting president can't attend or is unable to serve.  The vice president will serve as the Volunteer Coordinator for the PTO as well as coordinate various PTO programs.

Responsibilities:

  • Will oversee coordinators for programs such as Scholastic Book Fairs, Box Tops and Spirit Wear.

  • Will be the main contact for the Oak Ridge volunteer site on signup.com.

  • Will chair both teacher conference dinners (planning, set up, volunteers, clean up)

  • Will be the main contact for Oak Ridge Family Dinner Nights ( Chuck E Cheese, Davanni's, Applebee's, Chipolte).

  • Will send out any donation requests for the PTO and Oak Ridge if requested.

  • Attend and assist at PTO events, as able.

Oak Ridge PTO President

The president's role is to serve the PTO, school and students of Oak Ridge.  The president must be  familiar with the mission and By-Law's of the PTO.  The president must be able to lead meetings, delegate tasks and attend PTO events, as able.  The president will also lead all PTO related meetings and be the main contact for the Principal.

Responsibilities:

  • Review treasure's report.

  • Finalize the calendar with principal's secretary.

  • Set meeting dates - board and regular.

  • Update signature bank cards with treasurer.

  • Prepare the agendas for all meetings.

  • Main contact for yearly fundraisers.

  • Oversee Butterbraids and Bachmans gift card sales.

  • Oversee Read-a-thon and work with teacher representative to communicate with staff/teachers and PTO committee members for Read-a-Thon.

  • Coordinate with the help of Oak Ridge staff, to execute Family Learning Nights throughout the year.

Oak Ridge PTO Secretary

The secretary's role is to serve the PTO, school and students of Oak Ridge.  The secretary should be familiar with the mission and By-Law's of the PTO and must have good communication, computer and organizational skills.

Responsibilities:

  • Take minutes at all board and regular meetings.

  • Post minutes on PTO website.

  • Maintain and update PTO website.

  • Photocopy agenda for all meetings.

  • Send PTO information to principals secretary regarding volunteer and upcoming events to be posted in newsletter.

  • Prepare written materials  to go home with students. 

  • Update the PTO Bulletin Board at school.

  • Update all PTO written materials.

  • Send emails out to all parent members and maintain email list.

  • Check PTO mailbox at school and PTO email regularly.

  • Attend and assist at PTO events, as able.

Oak Ridge PTO Treasurer

The treasurer's role is to serve the PTO, school and students of Oak Ridge.  Be familiar with the mission and By-Law's of the PTO.  The treasurer must have good communication, math, computer and organizational skills.

Responsibilities:

  • Determine annual budget with President and Principal.

  • Balance checking account each month.

  • Submit monthly financial reports to Board.

  • Get cash withdraws for Scholastic Book Fairs and class party money for school secretary.

  • Organize at least 2 volunteers after fundraisers/events to count deposits.

  • Take deposits to the bank in a timely manner.

  • Send receipts to donors.

  • Renew PTO insurance annually.

  • Submit annual filings and renewals with the state.

  • Submit tax returns annually.

  • Collect expense reimbursement requests and bills from the school secretary and process in a timely manner.

  • Update signature bank cards with president.

  • Attend and assist at PTO events, as able.
